Problems we turned into systems.

Every business works differently. So does every system we build.

Here are a few examples of how we took real operational challenges, understood what was getting in the way, and built technology around the way the business actually works.

01 Retail / Content Operations

From recurring content chaos to one working system

The challenge

A retail marketing team was running monthly content planning through spreadsheets, historical files, daily messages, design briefs and constant manual coordination.

The process worked, but only because people kept holding it together.

What we found

The real problem wasn’t creating content.

It was the repeated planning, coordination and decision-making around it — every single month.

What we built

A custom content operating system that turns historical content, commercial inputs and calendar events into a structured monthly workflow.

It supports
  • monthly content planning
  • daily management messages
  • design briefs
  • creative workflows
  • shared visibility across the team
The impact

The team moved from rebuilding the process every month to working from one structured system — with less repetitive coordination and a clearer starting point for everyone involved.

02 Import / Operations

Improving a complex import workflow without waiting for the ERP

The challenge

A large import department was dealing with high volumes of products, containers and documents through a process full of manual preparation, repeated searches and fragmented information.

At the same time, direct access to the company’s ERP was restricted by IT and security.

What we found

A large part of the workload did not actually require ERP integration.

The biggest bottleneck was everything that happened before information reached the system.

What we built

A custom workflow that operates alongside the existing ERP.

The system prepares and structures information outside the core platform, while keeping human approval at the points where it is needed.

It supports
  • document processing
  • information extraction
  • preparation of structured outputs
  • recurring import tasks
  • human review before ERP entry
The impact

Instead of waiting for a large integration project, the department could start improving the workflow immediately — reducing manual preparation and creating a clearer process around recurring import work.

03 Executive / Management

Giving a CEO back control over the information around her

The challenge

A CEO was overloaded with recurring tasks, follow-ups and information coming from different parts of the business.

The issue was not a lack of tools. It was that too much of the operation still depended on her personally chasing, remembering and organizing information.

What we found

The bottleneck was attention.

Information was reaching the CEO, but not in a structure designed around how she actually managed the company.

What we built

A custom executive operating system designed around her real working habits.

It brings together
  • recurring information
  • management tasks
  • follow-ups
  • reports
  • decision points
  • ongoing operational workflows
The impact

The system created a clearer layer between the business and the CEO’s attention — reducing unnecessary follow-ups and making recurring management work easier to see, organize and act on.

04 Founder / Operations

Moving a founder out of the operational weeds

The challenge

A founder was spending too much of her time on day-to-day operational and administrative work instead of growth, business development and higher-value decisions.

None of the individual tasks looked dramatic. Together, they consumed a large part of the week.

What we found

The problem was not one task.

It was the accumulation of recurring work, information and follow-ups that constantly pulled attention back into operations.

What we built

A personalized operating system designed around the founder’s actual workflow.

It helps organize
  • recurring tasks
  • information
  • follow-ups
  • operational routines
  • work that can be automated or systemized
The impact

The system created a more structured way to run recurring work and demonstrated how operational load could gradually move away from the founder and into a system built around her.

05 Marketing / Automation

Turning repetitive marketing work into connected workflows

The challenge

A marketing operation was spending significant time every week on recurring reports, campaign activity, task coordination and information that had to be manually collected and distributed.

Each task was small. Together, they created a constant operational burden.

What we found

The same information was repeatedly moving between people, platforms and processes.

A large part of that work did not need to stay manual.

What we built

A connected set of automations that supports recurring marketing operations while keeping the team’s existing way of working intact.

The system included workflows for
  • management briefs
  • campaign operations
  • monthly reporting
  • task creation and coordination
The impact

Recurring work that previously required repeated manual handling became structured workflows — allowing the team to spend less time moving information around and more time on actual marketing work.
